ShiftSwap is a shift coverage tool used by business managers. When a shift needs to be filled, ShiftSwap sends SMS notifications to eligible employees so they can claim the shift by replying YES. This document describes how employee consent to receive these messages is obtained and enforced.
Consent is obtained verbally by the manager at the time of employee onboarding into ShiftSwap. The manager reads a standard script to the employee before adding their phone number to the roster. The employee's number is only entered into the system after they verbally agree.
No employee phone number is ever added to ShiftSwap without the manager first obtaining verbal consent using the script below. The act of adding the number to the roster constitutes the manager's confirmation that consent was received.
Managers read the following to each employee before adding them to ShiftSwap:
The employee's phone number is only added to the ShiftSwap roster after they verbally confirm agreement.
Every SMS sent by ShiftSwap follows this format:
ShiftSwap: Coverage needed [DAY] [DATE] [START]–[END] ([ROLE]). Reply YES to claim, or ignore to pass. Expires in 15 min.
All messages identify the sender (ShiftSwap), state the purpose clearly, and include implicit opt-out awareness through the STOP mechanism enforced in all replies.
Opt-out is enforced at the software level. When an employee replies STOP to any ShiftSwap message:
sms_opt_out = trueEmployees receive messages only when a shift matching their role and availability needs coverage. Expected volume is up to approximately 10 messages per month per employee, depending on staffing needs at their workplace.
